REFUND, CANCELLATION & PAYMENT POLICY

This Refund, Cancellation & Payment Policy (“Policy”) applies to payments, membership fees, donations, contributions, event/activity fees, travel-related payments, and other amounts paid to Ananthapuri Senior Citizens Charitable Society (ASCCS) through its official website, online payment facilities, bank transfer, or other authorized payment methods.
By making a payment to ASCCS, you acknowledge that you have read and understood this Policy.
1. About ASCCS
Ananthapuri Senior Citizens Charitable Society (ASCCS) is a welfare organization established for the upliftment, support, dignity, protection, and happiness of senior citizens.

2. Scope of This Policy
This Policy may apply to the following types of payments:
- ASCCS membership fees
- Donations
- Voluntary contributions
- Event or program participation fees
- Travel, tour, or pilgrimage-related payments
- Charges for specific activities or services, where applicable
- Other payments expressly authorized by ASCCS
The refund and cancellation terms may differ depending upon the nature of the payment.
Where special terms are provided for a particular event, tour, activity, or service, those specific terms shall apply in addition to or, where expressly stated, instead of the general provisions of this Policy.
3. Membership Fees
Membership fees, where applicable, are paid for processing and maintaining membership with ASCCS.
Once membership has been approved and activated, membership fees are generally non-refundable, except where:
- ASCCS expressly agrees to a refund;
- the payment was made more than once by mistake;
- the payment was received in error;
- a refund is required under applicable law; or
- ASCCS is unable to provide the membership for reasons attributable to ASCCS.
If an application is rejected before membership is activated, ASCCS may refund the applicable membership amount after deducting any permitted transaction or administrative charges, where applicable.
Any applicable refund will normally be processed to the original payment method.
4. Donations
Donations and voluntary contributions made to ASCCS are generally treated as voluntary contributions towards the charitable and welfare objectives of the Society.
Accordingly, donations are generally non-refundable once successfully received, except where:
- the payment was duplicated;
- the amount was incorrectly charged;
- the transaction was made due to a demonstrable technical error;
- the payment was not intended for ASCCS;
- a refund is required by applicable law; or
- ASCCS, at its discretion, determines that a refund is appropriate.
A donor seeking correction or refund of an erroneous or duplicate transaction should contact ASCCS as soon as reasonably possible.
ASCCS may request transaction details or supporting documentation before processing a refund request.
5. Event and Program Payments
Where ASCCS charges a fee for an event, program, workshop, social activity, awareness program, or other organized activity, the cancellation and refund terms applicable to that particular activity may be communicated separately.
If no specific cancellation terms are provided, refunds will be considered on a case-by-case basis, taking into account:
- The date of cancellation
- Expenses already incurred
- Payments made to third-party service providers
- Whether the participant’s place can be filled by another person
- Administrative or transaction costs
- The nature of the activity
- Applicable legal requirements
6. Travel, Tours and Pilgrimages
ASCCS may facilitate or organize train journeys, flights, ship/cruise journeys, tours, pilgrimages, accommodation, transportation, and related activities.
Travel-related payments may involve third-party service providers such as:
- Rail operators
- Airlines
- Cruise or ship operators
- Hotels
- Travel agencies
- Tour operators
- Transport providers
- Other service providers
Cancellation and refund conditions imposed by these providers may apply.
Where a travel booking has already been made with a third-party provider, any refund received by ASCCS from that provider may be passed on to the concerned member or participant after deducting applicable cancellation charges, non-refundable amounts, administrative expenses, transaction charges, or other permitted costs.
ASCCS does not guarantee that a third-party provider will approve or issue a refund.
7. Cancellation by a Member or Participant
A member or participant wishing to cancel a paid activity, event, tour, pilgrimage, or other service should notify ASCCS as early as possible.
Cancellation requests should preferably be sent by email to:

The request should include:
- Full name
- Membership number, if applicable
- Contact number
- Name of the activity/service
- Date of payment
- Amount paid
- Payment/transaction reference number
- Reason for cancellation, where relevant
Refund eligibility will be determined according to the applicable terms of the particular activity or service.
8. Cancellation by ASCCS
ASCCS reserves the right to cancel, postpone, modify, reschedule, or discontinue an event, activity, tour, pilgrimage, or service due to circumstances including:
- Insufficient participation
- Operational reasons
- Safety concerns
- Unavailability of service providers
- Government restrictions
- Transportation issues
- Natural disasters
- Severe weather
- Medical or health-related circumstances
- Force majeure events
- Other circumstances beyond the reasonable control of ASCCS
Where ASCCS cancels an activity for reasons attributable to ASCCS, the Society will communicate the applicable refund or alternative arrangement to affected participants, subject to amounts already paid to third-party providers and applicable terms.
9. Third-Party Cancellation Charges
Certain payments may be subject to cancellation charges imposed by external service providers.
These may include:
- Railway cancellation charges
- Airline cancellation charges
- Hotel cancellation charges
- Cruise cancellation charges
- Travel agency charges
- Transportation cancellation charges
- Payment gateway charges
- Other non-refundable third-party expenses
Such charges may be deducted from any refund payable to the member or participant, to the extent permitted by applicable law and the applicable booking terms.
10. Refund Processing
Where a refund is approved, ASCCS will normally initiate the refund using the original payment method wherever reasonably possible.
The actual time taken for the refunded amount to appear in the user’s bank account or payment account may depend on:
- Banks
- Credit/debit-card providers
- Payment gateways
- UPI service providers
- Other financial institutions
ASCCS cannot guarantee the exact time required by a third-party financial institution to complete a refund.
11. Duplicate or Incorrect Payments
If you believe that you have made a duplicate payment or that an incorrect amount has been charged, please contact ASCCS promptly.
We may verify the transaction with the relevant payment gateway or financial institution before processing any correction or refund.
Please provide the relevant transaction/reference details to help us investigate the matter.
12. Failed or Pending Transactions
Sometimes a payment may appear to have failed even though the amount has been temporarily debited from a bank account.
In such cases, users should first check the transaction status with their bank or payment provider.
If the amount has been debited but ASCCS has not received confirmation of payment, please contact us with the transaction reference.
ASCCS will verify the transaction and take appropriate action based on the confirmation received from the relevant payment provider or financial institution.
13. Payment Methods
ASCCS may provide payment facilities through methods authorized by the Society, which may include:
- UPI
- Debit cards
- Credit cards
- Net banking
- Bank transfers
- Payment gateways
- Other approved digital or offline payment methods
The payment methods available on the Website may change from time to time.
14. Payment Gateway
Online payments may be processed through third-party payment gateway providers.
When using a payment gateway, users may be subject to the terms, conditions, privacy policy, and security procedures of the relevant payment service provider.
ASCCS does not control the technical operation of third-party payment gateways and shall not be responsible for delays, interruptions, technical failures, or errors attributable to such providers, subject to applicable law.
15. Payment Security
ASCCS takes reasonable measures to protect payment-related information.
Users should never share:
- ATM PIN
- UPI PIN
- CVV
- Internet banking password
- One-time password (OTP)
- Card password
- Other confidential banking credentials
with ASCCS staff, volunteers, or any person claiming to represent ASCCS.
ASCCS will not ordinarily require users to disclose their confidential banking passwords or PINs.
Users should remain alert to fraudulent calls, messages, emails, or payment requests made by persons falsely claiming to represent ASCCS.
16. Fraudulent or Unauthorized Transactions
If you believe that a payment was made without your authorization, you should immediately:
- Contact your bank or payment provider;
- Take appropriate steps to secure your account;
- Inform ASCCS at asccstvpm@gmail.com; and
- Provide relevant transaction details, where available.
ASCCS may cooperate with banks, payment providers, law-enforcement authorities, or other competent authorities in investigating suspected fraudulent transactions.
17. Taxes and Statutory Requirements
Where applicable, payments, donations, services, or activities may be subject to taxes, statutory charges, government fees, or other applicable requirements.
Any applicable charges will be communicated where reasonably practicable.
Tax treatment of donations or contributions may depend upon applicable law and the tax status of the donor and ASCCS.
Donors should seek independent tax advice where necessary.
18. No Cash Refunds Unless Specifically Approved
Where a refund is approved, ASCCS will generally process it through the original payment method or another appropriate traceable method.
Cash refunds will not ordinarily be provided for online transactions unless specifically approved by ASCCS and permitted under applicable law.

ASCCS may contact you for additional information or documentation before making a decision.
20. Processing of Refund Requests
Refund requests will be reviewed within a reasonable period.
Approval of a refund does not necessarily mean that the refunded amount will immediately appear in the user’s account, as processing times may depend upon the payment gateway, bank, card issuer, or other financial institution.
Where a refund is not permitted, ASCCS will communicate the reason where reasonably appropriate.
21. Non-Refundable Expenses
Certain expenses may be non-refundable because they have already been incurred or committed to third parties.
These may include, depending upon the circumstances:
- Booking charges
- Cancellation charges
- Ticket charges
- Accommodation charges
- Transportation charges
- Administrative expenses
- Payment gateway charges
- Professional service charges
- Other committed third-party expenses
Such amounts may be deducted from any refund where permitted.
22. Changes to Fees and Charges
ASCCS may revise membership fees, activity fees, travel-related charges, or other applicable amounts from time to time.
Any revised amount will apply prospectively unless otherwise stated.
Payments already completed will generally be governed by the terms applicable at the time of payment.
23. Policy for Exceptional Circumstances
ASCCS may consider exceptional refund or cancellation requests on a case-by-case basis, particularly where circumstances involve:
- Serious illness
- Hospitalization
- Death of an immediate family member
- Major emergency
- Government restrictions
- Natural disasters
- Other exceptional circumstances
Supporting documentation may be requested where appropriate.
Approval of an exceptional refund is at the discretion of ASCCS, subject to applicable law and third-party commitments.
24. No Waiver of Legal Rights
Nothing in this Policy is intended to restrict or exclude any rights or remedies that cannot legally be restricted or excluded under applicable law.
Where any provision of this Policy conflicts with a mandatory legal requirement, the applicable legal requirement shall prevail.
25. Changes to This Policy
ASCCS may update or modify this Refund, Cancellation & Payment Policy from time to time.
The updated version will be published on the Website with a revised “Last Updated” date.
Users are encouraged to review this Policy before making payments.
26. Governing Law
This Policy shall be governed by and interpreted in accordance with the applicable laws of India.
Subject to applicable law, matters relating to this Policy shall be subject to the jurisdiction of the appropriate courts and authorities in Kerala, India.
